Scholars by ExamMama ("we", "us", "our") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you register on, visit, or take tests through our platform.

This policy is published in compliance with the Digital Personal Data Protection Act, 2023 (DPDP Act) and the Telecom Regulatory Authority of India (TRAI) Telecom Commercial Communications Customer Preference Regulations (TCCCPR) including the DLT framework.

1. Information We Collect

Identity & contact data: full name, email, mobile number, city, state, qualification, and college / school you provide at registration.
Account data: your Scholarship ID, role (student / admin), password hash, and referral source.
Test data: tests you attempt, answers, scores, ranks, timing, question-level responses, and scholarship-tier awards.
Payment data: for paid tests, the Razorpay order ID, payment ID, amount, currency, and status. Card / UPI / bank details are collected and processed by Razorpay directly; we do not store them.
Technical data: IP address, user-agent, device type, and timestamps captured on registration, login, and test submission.
Consent records: the exact consent text you agreed to at signup, along with the version and timestamp.

2. How We Use Your Information

To create and manage your account and issue your Scholarship ID.
To deliver tests, evaluate answers, compute ranks, and determine scholarship-tier eligibility.
To process payments and issue receipts for paid tests.
To send you service messages (test schedules, result notifications, receipts, password resets) and promotional communications about new tests and offers (subject to your consent — see Section 4).
To meet legal, regulatory, accounting, and tax obligations and to maintain audit records.
To improve our platform, question quality, and student experience through analytics and feedback.

3. Legal Basis

We process your personal data on the basis of your consent (which you provide at registration), the performance of a contract (e.g. delivering a paid test), our legitimate business interests, and compliance with legal obligations.

4. Communications & Consent

By registering on Scholars by ExamMama, you provide your express consent to receive communications from us via the following channels:

Voice calls

Service messages (test schedules, results, receipts, password resets, account notices) are essential to the platform and cannot be opted out of while your account is active. Promotional messages (new tests, offers, scholarship announcements) are sent only where permitted and can be turned off at any time.

Each consent event is logged with the exact text shown to you, the version, your timestamp, and channels granted — and retained as an audit trail in compliance with TRAI / DLT requirements.

4.1 Withdrawing Consent / Opting Out

You may withdraw consent for promotional communications at any time, free of charge, by:

Email: writing to support@exammama.com with the subject "Unsubscribe";
SMS / WhatsApp: replying with the keyword STOP to any promotional message we send;
Voice / Calls: requesting our agent to remove your number from promotional lists during the call.

Withdrawal will not affect the lawfulness of processing carried out before withdrawal, and we may still contact you for service-related, transactional, or legally required messages.

5. Sharing & Disclosure

We may share your data with:

Razorpay Software Private Limited for the sole purpose of processing payments for paid tests.
our managed cloud infrastructure as our hosting and database sub-processor.
Sponsoring organisations — for scholarship awards, we may share your name, Scholarship ID, score, and rank with the sponsor of a specific test (this is disclosed on the test detail page before you attempt).
Communication providers for Email / SMS / WhatsApp / Voice delivery.
Regulators or law enforcement, where required by law.
Successor entities in the event of a merger or acquisition.

We do not sell your personal data.

6. Data Retention

Active student accounts: retained while the account is active and for 24 months of inactivity thereafter.
Test attempts and scores: retained for 7 years for scholarship audit purposes.
Payment records: retained for 8 years to meet Indian tax and accounting requirements.
Consent audit logs: retained for 7 years to satisfy regulatory audits.

7. Security

We use industry-standard safeguards including encrypted transport (HTTPS), row-level security on our database, role-based access control, hashed passwords, and limited admin access. However, no method of transmission over the internet is fully secure, and we cannot guarantee absolute security.

8. Your Rights (DPDP Act)

You have the right to:

access the personal data we hold about you;
request correction of inaccurate or incomplete data;
request erasure of your data, subject to legal retention requirements;
withdraw consent for promotional communications (see Section 4.1);
nominate another individual to exercise your rights in case of incapacity;
register a grievance with our Grievance Officer (see Section 11).

9. Cookies & Local Storage

The Site uses essential cookies and browser localStorage to keep you signed in and remember your PWA install preferences. We may use analytics cookies to measure aggregate traffic. You can disable cookies in your browser settings; some site features (including sign-in) may not work as a result.

10. Children's Privacy

We do not knowingly collect personal data of children under 18 without verifiable parental or guardian consent. If you believe we have inadvertently done so, please contact us so we can take appropriate action.
